Mission and objectives

UNAMA was established in 2002 as a Political/ Peacebuilding Mission, exceptionally) directed and supported by the UN Department of Peacekeeping Operations (DPKO).

Context

UNAMA is a political mission that provides political good offices in Afghanistan; works with and supports the government; supports the process of peace and reconciliation; monitors and promotes human rights and the protection of civilians in armed conflict; promotes good governance; and encourages regional cooperation. UNAMA was established by the UN Security Council Resolution 1401 in March 2002 at the request of the Government of the Islamic Republic of Afghanistan. Its mandate is reviewed annually with the latest mandate renewal being on 15 September 2020 when the Security Council unanimously adopted Resolution 2543 (2020) Resolution 2543 (2020) calls for UNAMA and the Secretary-General’s Special Representative for Afghanistan, within their mandate and in a manner consistent with Afghan sovereignty, leadership and ownership, to continue to lead and coordinate international civilian efforts in full cooperation with the Government of Afghanistan. UNAMA maintains a permanent and extensive field presence across Afghanistan.

Task description

The Field Coordination Assistant will be responsible for, but not limited to, the following duties: • Provides general office support services to help ensure the smooth functioning of an organizational unit. • Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc. • Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. • Proof-reads written products for completeness and grammatical and typographical accuracy. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. • Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. • Maintains files (both paper and electronic) and databases for work unit. • Updates and maintains distribution lists; assemble documents, reports and other materials for dissemination, where possible using electronic formats. • Performs a variety of administrative duties (e.g., leave recording, attendance monitoring, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, etc.). • Assists with the collection and analysis of data as well as preparation of basic data presentations and reports for information sharing, responding to queries, planning and decision making. • Photocopies/scans/prints a variety of documents and other materials. • Operates and maintains a variety of office equipment in the performance of basic office functions, e.g., photocopier, facsimile, printer, scanner, etc. • Performs basic data entry and extraction functions. • Checks accuracy of simple calculations, data, etc. • Delivers urgent mail/messages. • Performs other duties as assigned.
